HARMONY WHISTLER VACATIONS BOOKING POLICIES / TERMS & CONDITIONS

PAYMENT & CANCELLATIONS

At the time of booking, a deposit of 25% plus tax will be required to complete your reservation. We accept Visa, Mastercard and American Express. This credit card will be billed automatically for any unpaid balance on the date the full payment is due, unless you discuss alternative payment arrangements.

The balance of your stay is automatically charged 30 days prior to your arrival. For bookings made within 30 days of arrival, the full amount will be charged when the booking is made.

Bookings canceled at least 30 days before the start of the stay will receive a full refund. Bookings canceled at least 14 days before the start of the stay will receive a 50% refund.

The guests shall not let / sublet all or any part of the Premises nor assign this agreement without prior written consent.

Harmony Whistler encourages guests to purchase 3rd party cancellation insurance to avoid fees in the event of a cancellation needing to be made.

Non Canadian Guests, please note that some credit card companies may charge you a padded exchange rate or a foreign transactions fee.

Harmony Whistler Vacations cannot issue refunds based on weather conditions.

Please note that our company will never request or require customers to make payment via wire transfer or e-transfer for any reservation or service. All legitimate transactions will be processed through our official payment channels, such as our secure website.  If you receive any requests for wire transfers or e-transfers claiming to be from our company, please disregard and report such instances to us immediately.


CHECK-IN / OUT

The check-in procedures will be confirmed via. email 7 days prior to arrival. The majority of our properties have door codes which will be issued to you for the dates of your stay.

All properties will be ready for check-in by 4:00pm. If you wish to check-in earlier, please let us know. We will do our best to make it happen.


Security Deposit
Prior to check-in, guests will be required to provide a credit card for a pre-authorization for a security deposit plus photo identification. The amount of the deposit varies depending on the unit and will range between $500 and $1,000. The specified amount will be in the property description and confirmed in a Booking Confirmation. The pre-authorization will be released after check out and will only be charged up to the pre-authorized amount after departure if property is damaged, requires excessive cleaning, or if items are missing. The maximum amount charged will be the specified amount. The credit card provided must be in the name of the main guest, no third party credit cards will be accepted.

If the cleaners are unable to access the property after 10 am to clean, they may charge a turn away fee, which will be deducted from your security deposit to cover the costs of their teams time.


Damages
Guests are expected to notify Harmony Whistler immediately upon arrival of any damage to the unit is noticed. The guest accepts the Premises in its present condition and agrees to take good care of the Premises during their stay and further agrees to pay all costs to replace or repair any property damaged by the guest during their stay.


Minimum Age
Guests must meet our minimum age requirement for the unit booked and must provide ID at check-in, unless prior approval has been given. The minimum age varies depending on the unit and will be 25, 30 or 35. The minimum age requirement will be specified in the description for each unit. No groups and all guests must meet the minimum age requirement, unless prior approval has been given. Harmony Whistler retains the right to refuse access to any property if this condition has not been met and no refund will be provided.


Housekeeping
The property will be clean and ready for your arrival. For stays of ten days or more, we can provide a mid-stay clean for a fee (subject to availability). It is important to request this 7 days prior to arrival as the cleaners may not be able to accommodate if requested upon arrival. All properties have laundry facilities either in the unit or in the building. Adequate quantities of towels / linens will be provided for the number of people booked.

Parking
Most properties have a specified parking stall for one vehicle, unless otherwise stated (exceptions include Glacier Lodge, The Aspens, The Marquise). There is visitor parking at most complexes, on a first come, first served basis. If your vehicle is over sized, it can be difficult to accommodate in Whistler and parking for such vehicles may not be available at peak times. Please contact Harmony Whistler to discuss options. Parking instructions will be given with check-in details.

Buses in Whistler
The free public shuttle is operated by BC transit and we are not responsible for the schedule or any strikes which may impact service. Harmony Whistler Vacations cannot provide refunds or compensation based on public transportation issues.

Private Hot Tubs
Harmony Whistler Vacations ensures private hot tubs are serviced regularly, but we cannot guarantee against mechanical failure which may result in the hot tub not being available. Please report any equipment that is not operating properly, and we will make every effort to resolve the problem as quickly as possible. Occasionally, the water will need to be changed prior to check-in time, which may result in the hot tub being out of service for up to 10 hours while the water heats up to temperature. Harmony Whistler Vacations cannot provide compensation for the cleaning and maintenance of hot tubs, as this is necessary for health and safety. 

Communal Pool & Hot Tub Facilities
The strata management company for the complex maintains communal pools & hot tub facilities. Occasionally, these facilities may close due to maintenance or health & safety. Harmony Whistler Vacations is not responsible for shut downs and cannot provide compensation for such events. 

Smoking
All properties and complexes are entirely non-smoking this includes but is not limited to smoking cigarettes/marijuana and vaping. This includes all patios, balconies and common areas. Please limit smoking to outside of the complex, where permissible. Please do not dispose of butts in or around the complex and specifically over railings as this is considered a fire hazard. Any units with evidence of smoking in the complex, including tampering or covering the smoke detectors, will result in a $500 fine from Harmony Whistler and may also result in complex and municipality fines.

Pets
Pets of any kind are not permitted in any of our properties unless agreed to in advance. Please contact Harmony Whistler for further information. There will be a $500 fine for any pets or evidence of pets found in the units, if permission has not been granted.

Noise
Excessive noise will not be tolerated at any time of the day. Security and Strata has the option to evict and / or fine guests. Quiet hours are 10pm to 8am which includes use of the hot tub and common areas, if applicable.

Maximum Occupancy

1 bedroom – 2 occupants standard (4 occupants if sofa bed is provided & approval given. $25 fee per person, per night)

2 bedroom – 4 occupants standard (6 occupants if sofa bed is provided & approval given. $25 fee per person, per night)

3 bedroom - 6 occupants standard (8 occupants if sofa bed is provided & approval given. $25 fee per person, per night)

4 bedroom - 8 occupants standard (10 occupants if sofa bed is provided & approval given. $25 fee per person, per night)

 

Any occupants that exceed the Standard Occupancy limitation are subject to a $25.00 per person, per night. Any occupants that exceed the Maximum Occupancy will be evicted without refund.


Liability Disclaimer

Prices for Accommodation and packages are subject to change without notice, and reservations are based on availability. Bookings and prices are not confirmed until a non-refundable deposit has been received and confirmation email has been sent to Guest.

 

The Owner / Harmony Whistler shall not be liable to the guest for any injury or damage to person or property in or about the Premises by or from any cause whatsoever.
 

Each unit is privately owned and subject to availability. Due to unforeseen circumstances, should the reserved unit no longer be available for rental, Harmony Whistler reserves the right to relocate the guests.  Every effort will be made to relocate to another unit of equivalent or superior quality, this cannot be guaranteed and is subject to availability. 

Harmony Whistler Vacations is not responsible for lost or stolen property stored in common area facilities such as parking garages, ski storage rooms, or luggage rooms. Guests are responsible for their own belongings and should take necessary precautions to safeguard their property.


Termination
Failure by the Guest to meet the payment terms and schedule may result in termination and forfeiture of deposits.

COVID
TRAVELLING DURING COVID 
It is the guests responsibility to adhere to all government requirements for travelling during COVID. For guests travelling from outside of Canada, requirements for entry into Canada can be found on our government’s website HERE. The guest’s country of residence may also have requirements for re-entry and we recommend checking your government’s requirements for re-entry. Due to the everchanging situation of COVID, we recommend following these requirements prior to, during and after your stay. Harmony Whistler Vacations will not provide any refunds for guests that are unbale to enter into Canada due to not meeting government requirements for travel due to COVID. 

During Your Stay
Guests will follow all public health advisories during their stay with Harmony Whistler Vacations.  

Lost Property 
Lost property including valuable items left behind by the Tenant or the Tenants Guests will be held for the Tenant for up to 1 month, after which they shall become the Property of the Landlord. The Landlord shall not be held liable for the condition of said items. The Tenant is responsible for any cost associated with the storage or return of said items plus a small admin fee to cover our time and shipping supplies.
